Job Summary
The Graduate Trainee – Office Assistant will support general office operations, administration, and coordination functions. This entry-level role is ideal for recent graduates who are looking to gain practical experience in an office environment. No prior experience is required—on-the-job training will be provided. Fresh graduates, especially those from management schools or with previous exposure to school administration or support to sales and marketing functions, are highly encouraged to apply.
Outstanding performers may be considered for full-time employment at the end of the traineeship.
Key Accountabilities:
1. General Administrative Support
Assist in receiving visitors and clients at the front desk.
Handle incoming and outgoing phone calls, emails, and mail.
Photocopy, print, scan, and file documents as directed.
Maintain cleanliness and order in office spaces and meeting rooms.
Support coordination of meetings, workshops, and trainings.
2. Records & Filing
Maintain both physical and digital records of office files and student/client documents.
Track office supplies and raise requests for restocking.
Help in compiling attendance records and documentation for training sessions or meetings.
3. Sales and Marketing Support
Help in packaging and distributing marketing materials during field visits.
Assist in preparing materials for open days, exhibitions, and outreach programs.
Follow up on inquiries from students and clients by phone or email under supervision.
Provide basic information about services offered when needed.
4. Coordination & Communication
Relay messages between departments and ensure proper documentation of memos.
Provide clerical support during training sessions, webinars, and student enrollment processes.
Support routine office errands within and outside the organization.
Knowledge, Skills and Experience:
Qualifications and Experience
Bachelor’s Degree or Diploma in Business Administration, Records Management, Office and Information Management, or a related field.
Fresh graduates are highly encouraged to apply.
Previous internship, volunteer work, or attachment in a school administration or office environment is an added advantage.
Experience supporting sales or marketing activities is desirable but not required.
