SNV has been operating in Uganda since 1989 and understands the local context. With offices in Kampala and regional offices across the country, SNV implements donor-funded activities in over 100 districts. The organisation’s projects in Uganda aim to generate employment opportunities, increase income, and improve access to essential services for disadvantaged individuals, collaborating closely with public agencies and businesses. This year, SNV celebrates 35 years of impact initiatives in Uganda under the theme, “Adapting, Building Resilience for Lasting Impact.”
Against that background, SNV in Uganda seeks the services of a professional event planner/firm to provide planning, logistics and management support for the event, which will be held in Kampala at the SNV offices
Duties and Responsibilities
Event Planning and Coordination:
Concept Development: Develop the event concept and theme in consultation with clients.
Budget Management: Create and manage event budgets, ensuring all costs are accounted for and within limits.
Venue Selection: Identify and secure appropriate venues based on event requirements, size, and budget.
Vendor Coordination: Source and negotiate contracts with vendors (catering, audio-visual, decor, etc.).
Scheduling: Develop a detailed event schedule, including timelines for setup, event activities, and teardown.
Logistics Management:
Setup and Teardown: Oversee the setup and teardown of event spaces, ensuring smooth transitions.
Transportation and Accommodation: Arrange transportation and accommodation for guests, speakers, and performers if necessary.
Permits and Licenses: Obtain necessary permits and licenses for the event, such as alcohol licenses or public assembly permits.
On-site Management:
Event Execution: Manage the event on the day, ensuring all activities run according to plan.
Guest Services: Coordinate guest registration, seating arrangements, and other guest services.
Crisis Management: Handle any emergencies or unexpected issues that arise during the event.
Qualifications and Competencies
Education:
A bachelor's degree in event management, hospitality, business administration, or a related field is often preferred. Certifications in event planning can also be advantageous.
Experience:
Experience in event planning or management, particularly in organizing large-scale events. Specialized experience in specific types of events (e.g., corporate, weddings) can be valuable.
Skills:
Organizational Skills: Ability to multitask, prioritize, and manage time effectively.
Communication Skills: Strong written and verbal communication skills, including negotiation and interpersonal skills.
Attention to Detail: Meticulous attention to detail in planning and execution.
Problem-Solving: Ability to handle unexpected situations calmly and efficiently.
Creativity: Innovative thinking for designing unique and memorable events.
Knowledge:
Understanding of event logistics, including venue selection, catering, AV requirements, and decor.
Familiarity with event management software and tools.
