Strømme Foundation is looking for an inspired and experienced individual to join our team in the Position of Administration Assistant/Front desk Officer (Kampala).
The Administrative Assistant/Front Desk Officer is responsible for managing the office front desk, will be a personal assistant to the Country Director, be a custodian of office records, lead on logistical support and manage office petty cash
Duties and Responsibilities
General Office Support:
Answering and directing phone calls.
Managing correspondence (emails, letters, packages).
Greeting visitors and handling inquiries.
Scheduling appointments and managing calendars.
Document Management:
Preparing and editing documents, reports, and presentations.
Filing and retrieving documents and records.
Data entry and maintaining databases.
Meeting Coordination:
Scheduling and organizing meetings.
Preparing meeting agendas and materials.
Taking and distributing minutes of meetings.
Travel Arrangements:
Booking flights, hotels, and transportation.
Preparing itineraries.
Office Supplies Management:
Ordering and maintaining inventory of office supplies.
Coordinating with vendors and service providers.
Qualifications and Competencies
Educational Qualifications:
High school diploma or equivalent; some positions may require an associate’s or bachelor’s degree.
Experience:
Prior experience in an administrative or office support role is often preferred.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with office equipment (printers, scanners, etc.).
Experience with scheduling and database management software.
Communication Skills:
Excellent verbal and written communication skills.
Ability to interact professionally with colleagues, clients, and vendors.
Organizational Skills:
Strong organizational skills and attention to detail.
Ability to multitask and prioritize tasks effectively.
