The Mountains of the Moon University, is a public university in Uganda. Founded as a private, non-profit institution, the university became a public institution following an executive directive in January 2018. It is named after the Rwenzori Mountains, also known as the Mountains of the Moon.

Job Description
Administrative Secretaries play a crucial role in supporting the efficient operation of an office or organization by handling various administrative and clerical tasks. Their responsibilities often include managing schedules, organizing information
Duties and Responsibilities
Office Management
Organize and Maintain Files: Develop and maintain an efficient filing system, including electronic and paper records, ensuring easy retrieval of information.
Office Supplies: Manage inventory of office supplies and equipment, including ordering and restocking as needed.
Schedule Management
Calendar Coordination: Maintain and manage schedules for executives or teams, including arranging meetings, appointments, and travel plans.
Meeting Coordination: Organize and coordinate meetings, including preparing agendas, booking meeting rooms, and arranging for necessary equipment
Communication Handling
Correspondence Management: Draft, review, and manage correspondence, including emails, letters, and reports.
Phone and In-Person Communication: Answer and screen phone calls, greet visitors, and handle inquiries, directing them to the appropriate person or department.
Document Preparation
Report Preparation: Prepare and format reports, presentations, and other documents as required.
Data Entry: Enter and update information into databases, spreadsheets, and other record-keeping systems.
Travel and Event Arrangements
Travel Coordination: Arrange travel itineraries, including booking flights, accommodations, and transportation for executives or staff.
Event Planning: Assist in organizing and coordinating events, conferences, and workshops, including logistics and coordination.
Qualifications and Competencies
A Bachelors Degree (Hons) in either Social Sciences or Public Administration or Business Administration or Office and Information Management or Development Studies or Administrative & Secretarial Science from a reputable University.
Experience and Competences
Should have a minimum of three (3) years relevant working experience which should have been served at the level of Assistant Administrative Secretary/Officer, Administrative Assistant or Personal Secretary in Government or reputable private organization.
Working knowledge of office management systems, procedures and equipment.
Proficiency in MS Office (MS Word, MS Excel, MS PowerPoint and MS Outlook)
Must posses good report writing skills
Maintaining an organized and efficient office environment
The ability to effectively plan and facilitate virtual meetings, including the use of technology and tools.
Efficiently managing your time
Being a good team player and collaborating with others
Manage different schedules, calendars, travel arrangements, and daily demands for the supervisor
Effectively communicating with colleagues, both in person and through various communication channels
Present yourself in a professional manner and build a personal brand that reflects your values, skills, and expertise.
